Due to the COVID-19 outbreak, many companies have arranged for employees to work from home. The necessary implementation is intended to help protect the health of employees and their families by reducing contact with others and minimizing the risk of infection.
But most of us are accustomed to our home being a haven for us to put our feet up at the end of a long workday, instead of an office, not to mention the temptation of taking a 20-minute nap or going on YouTube for cat videos. As thousands of businesses in China are turning to the Internet to stay operational, Ladies Who Tech asked our community members to share some of their favourite tools, APPs and technologies that have helped them maintain productivity and human interaction while staying sane despite being under lockdown.
Our members are in an array of fields, including technology, medicine, engineering, consulting, retail management, education, marketing and the media, and 85 per cent of those surveyed said they were required to work remotely during the virus outbreak. Together with the rest of China, they have ushered in what has been dubbed "the world's largest work-from-home experiment", giving rise to a range of online office tools for the first time.
It's interesting to note that 77 per cent of those surveyed reported that they had no problem with working at home at all, and another 15 per cent reported that they weren’t used to doing business outside the office in the beginning but finally adjusted successfully. Let's take a look at some of the tried-and-tested tools that helped our members navigate and excel at their day-to-day tasks in a virtual world.
Communication and Collaboration Tools
WeChat / DingTalk / Lark
"Working on our next big move kept the team resolute. We found that these times are perfect for brainstorming. We used WeChat to keep in touch and chat at all times.”
It probably shouldn't come as a surprise that Tencent's messaging app WeChat and its enterprise version WeChat Work were the most popular tools among our members to report work and stay connected. At the same time, Alibaba's DingTalk and ByteDance's Lark came a close second. Both apps saw downloads across China's app stores surge over 350 per cent during Chinese New Year week compared to one week prior, according to Reuters quoting research firm App Annie. WeChat Work surged by almost 70 per cent in the same timeframe.
Employees from several million corporate organizations were working from home on WeChat Work on February 3, which is three times the number of active users compared to last year, its senior product director He Jing told People's Daily. The app has been updated to include new functions like group live-streaming, data collection, online doctor consultations, super group chat, emergency alerts and epidemic updates.
DingTalk's online classroom feature, which was added at the end of January, was adopted by 50 million students and 600,000 teachers in China used when classes resumed, sending Alibaba scrambling to add 10,000 servers to keep up with the demand. The software has also found its footing in Japan, where teachers of Tokyo COSMO School have used DingTalk to perform regular check-ins and hold long-distance lessons.
Zulip / Slack / Microsoft Teams
您知道吗，Slack的名称其实是一个缩写，代表“Searchable Log of All Conversation and Knowledge”。
Zulip is an open source chat solution that was acquired by Dropbox in 2014. It allows users to subscribe to streams and topics, which would help them filter irrelevant conversations and catch up with important ones.
Slack, the cloud-based instant messaging platform that continues to be widely popular, has new integrations being created almost every day. Originally created as an internal communications tool among game developers, the San Francisco-based start-up has now become a full-featured collaboration tool for businesses all over the world. Last October, Slack said it had around 12 million daily active users and 85,000 paid organization users, who spend on average nine hours a day logged in.
And did you know? The app's name is an acronym for “Searchable Log of All Conversation and Knowledge.”
Although a latecomer in 2019 as a successor to Skype for Business, Microsoft Teams immediately became a highly competitive player in the collaboration software market and Slack's long-time public rival. With 20 million claimed users, the aim of MS Teams is to connect staff in real-time and enhance collaboration by equipping them with video conferencing, messaging, threads, file-sharing/editing and screen-sharing services. Teams is also integrated with Microsoft's online office suite Office 365 and its OneDrive cloud storage, both of which gives the company an extra edge over Slack.
Among the new features announced in an update last Friday, Teams said that live captions are now available as subtitles during video meetings.
Video Conferencing Tools
Zoom / Cisco Webex / Amazon Chime /
The global video conferencing market is expected to reach US$6.7 billion (47 billion yuan) by 2025, with Asia Pacific anticipated to be the fastest growing regional market, according to a report by US consulting firm Grand View Research last August.
Thanks to low operating costs and improved data security, cloud-based video conferencing solutions are also expected to see an increase in adoption, driven by demand from areas such as telemedicine, development of start-up ecosystem and online education.
Zoom, which offers video conferencing, online meetings, chat and mobile collaboration services, saw its shares rise continuously amid the coronavirus outbreak, bringing in more monthly active users (2.22 million) so far this year than it did in 2019. Zoom shares are up 40 per cent in February, their best month since the company went public in April, according to Bernstein Research analysts quoted by CNBC.
Last Wednesday, CEO Eric Yuan announced it would be removing the 40-minute limit on video calls for its free version inside China as a contribution to impacted users amid the outbreak.
Founded in 1995 and acquired by Cisco in 2007, Webex is undoubtedly one of the oldest and most mature online meeting platforms. In fact, Eric Yuan was an early engineer at Webex before founding Zoom in 2011.
One of the challenges that Cisco Webex has to overcome is the perception that it's not as "hip" and "cool" as Slack and Zoom, when in reality the newer versions of Webex are just as easy to use and just as high quality, said analyst Zeus Kerravala on his post on No Jitter. For Cisco to succeed, it needs to find a way to create enough excitement around Webex through marketing its new platform and portfolio.
With Amazon Chime, users can communicate via simple video meetings or voice calls. File sharing, calendar and scheduling collaboration and customized chatbots are also available on the pay-as-you-go service. Everything is also integrated with Amazon Alexa for voice-based virtual assistant support.
Shenzhen-listed BizConf, which provides cloud conferencing services covering video conferences, webcasts and network conferences in the China market, has appreciated 68 per cent since the Wuhan lockdown, according to South China Morning Post.
Tencent Meeting was launched a few months after Zoom was temporarily blocked for around two months in China last year, prompting Chinese users of the US video-chat tool to switch to a local version. The move is part of an expansion of the tech giant's expansion to enterprise-facing services. The software, which combines video conferencing and online meetings by leveraging cloud computing, artificial intelligence, and online security technologies, is seamlessly integrated with WeChat Work. It is also said to have a more clear and stable connection compared with WeChat voice call.
